Chief of Staff

Total AI Systems, Inc. is looking for an exceptional Chief of Staff—someone who doesn’t just manage calendars and coordinate meetings, but who truly runs the business alongside the CEO.

You will be the CEO’s right hand. You will take ownership of priorities, drive accountability across every team and make sure things don’t just get started—they get done. You will bridge strategy and execution in a fast-moving, US-based product company operating across US and India business hours.

We are not looking for someone who attends meetings and produces summaries. We are looking for someone who makes things happen.

What You’ll Be Responsible For

• Partnering directly with the CEO to manage priorities, projects and strategic initiatives across the business
• Owning follow-through—tracking action items, deadlines, and commitments across all teams and ensuring nothing falls through the cracks
• Acting as the CEO’s proxy in cross-functional meetings, projects, and communications when needed
• Managing a wide variety of tasks simultaneously—from operational problem-solving to high-level strategic coordination
• Identifying bottlenecks across teams and driving resolution without waiting to be asked
• Building trusted relationships with internal stakeholders and holding them accountable with firmness and professionalism
• Supporting recruiting, onboarding, vendor management, and other cross-functional operational needs
• Preparing executive-level documents, reports, and presentations for the CEO and leadership team
• Bridging communication across US and India teams to ensure alignment, speed, and accountability

Required Qualifications

• Bachelor’s degree from an accredited college or university
• Minimum 3 years of experience in a Chief of Staff, Senior Project Manager, or equivalent strategic operations role
• PMP Certification (Project Management Professional)—required
• Proven experience working directly with C-level executives in a fast-moving, product-based company
• Strong project management discipline: owns timelines, drives accountability, closes loops
• Ability and willingness to work across both US business hours and India business hours (overlap required)
• Exceptional spoken and written English—clear, direct, and professional
• High energy, high ownership mindset—you do not wait for permission to solve problems
• Strong interpersonal skills—you can build trust with technical and non-technical stakeholders across all levels

Strongly Preferred

• Experience working in a SaaS or AI product company
• Prior experience with globally distributed teams
• Familiarity with project management and collaboration tools (Jira, Click Up, etc.)
• Experience supporting or managing cross-functional initiatives spanning engineering, product, and operations
• MBA or equivalent graduate-level education
