Description

• Own scheduling end-to-end alongside the existing AI calendar agent
• Organize and submit expenses, build an expense system, chase receipts, and maintain Expensify
• Plan business and personal travel door-to-door, including client relationship management trips
• Handle personal administration and logistics with discretion
• Track open items across live deal processes and vendor negotiations
• Review and QA decks, memos, and discussion materials before external distribution
• Support financial modeling and verify numbers before materials reach finance or investors
• Maintain data rooms, pipeline trackers, and CRM; coordinate NDAs and diligence logistics
• Coordinate between the operating system, portfolio brands, investor relations, &code, &studio, agencies, and brand teams
• Flag slippage on campaigns, deal follow-ups, and vendor deliverables
• Join the founder’s meetings, build context and trust, and evolve into a direct point of contact for the wider team
• Eventually help manage or train other staff

Requirements

• Senior experience supporting a founder, CEO, or senior principal, or equivalent experience in a fast-moving agency, finance, or operations environment with real delegated authority
• Strong interest in, or slight obsession with, beauty
• Agency, finance, or operations background suited to a career transition into a strategic senior role
• Ability to overlap with EST hours from 2:00 pm–8:00 pm SAST
• Financial literacy; comfortable reviewing models, numbers, and deal materials
• Exceptional written English
• High emotional intelligence and hardworking drive
• High agency and hands-on problem-solving ability; comfortable as a generalist
• Discretion and comfort operating under NDA with confidential deal information, financials, and personal matters
• AI-tool fluency or demonstrated ability to build it quickly
