About the Role:

The Chief of Staff (COS) is a critically important role, enabling CEO to work most effectively with and fulfill commitments to internal and external stakeholders. The Chief of Staff is responsible for assisting the CEO in the planning and coordination of activities across the organization; these projects are strategic in nature, highly complex and involve cross functional teams. This individual advises, supports, assists, coordinates, and collaborates on strategic initiatives for the CEO. Acts as an executive liaison and raises issues and solutions based on feedback from executive leadership and senior management.

This individual supports the CEO in prioritizing work, ensures the CEO is well-briefed on all critical topics, and is forward looking to ensure solid preparation for key commitments. This role requires a combination of a strong facilitator and strategic skill set, focus and flexibility, as well as a willingness to play both visible and behind the scenes role.

This role provides access and visibility to the strategic and operational elements of the organization through a direct relationship with the Founder & CEO, executive leadership team, and the Board, and has access to and involvement with highly sensitive and confidential information. The successful individual will possess unquestionable integrity, sound judgement and discretion, high-energy, agile, strategic, proactive, direct and candid communicator, highly organized and committed to the mission, vision and values of the organization.

Key Accountabilities:

1. Coordination / orchestration of initiatives and commitments directly involving the CEO:

  • Develops and maintains an inventory of critical projects in which the CEO is especially interested and/or for which CEO awareness and involvement is essential
  • Develops and maintains critical internal and external events and supports CEO in prioritizing appropriately.
  • Provides CEO of project status of initiatives specifically critical to CEO.

2. Facilitation and preparation of key meetings (e.g., CEO Roundtable, etc.)

  • COS is accountable for ensuring that meeting objectives and topics are appropriate, and all necessary preparations are completed.
  • Ensures appropriateness and sufficiency of preparation to ensure the CEO’s time is leveraged most effectively in a meeting context.
  • Works with CEO Executive Assistant to remain apprised of / schedule upcoming CEO commitments
  • Confirms objectives for meetings, and recommends participants and effective approaches
  • Develops background information for the CEO
  • Ensures participants are aware of and prepared for the meeting
  • Attends meetings, captures major take-aways, and works with executive team to ensure follow-up
  • Monitors progress / achievement of next steps

3. Support CEO in preparation of Board Materials, Investor Meetings, or any other critical meetings as defined by CEO.

  • Responsible for facilitating the gathering and distribution of all related materials.
  • Develops a “library” of materials and materials for easy reference and historical tracking.

4. Communication

  • Create inventory of upcoming communication “events” – including articles, columns, presentations, etc.
  • Work collaboratively with partners across the organization to determine outline, drafts, or research in support of events
  • Prepare follow up correspondence for internal and external meetings
  • Represent the CEO as needed in internal or external forums that CEO cannot attend.

5. Other projects and responsibilities as assigned

  • Nature of the role is to have a wide variety of projects and assignments as business and enterprise needs require.

 Role Requirements:

  • 10+ years of related professional experience.
  • Impeccable integrity, trustworthiness, and work ethic
  • Highly skilled at navigating varying degrees of ambiguity in fast-paced environment
  • Exceptional judgement and discretion in the performance of all functions and responsibilities
  • Excellent oral and written communication skills
  • Comfortable interacting with stakeholders at all levels with a high level of professionalism (Executive team, Board members, Legislators, Public Officials, etc.)
  • Detail orientation, able to work independently
  • Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects
  • Flexibility to be readily available within and outside of normal work hours as work dictates
  • Knowledge of organization and the healthcare industry preferred
